Why datasheet review takes so long
A datasheet looks short, but each line points to a specification clause, an owner standard or a referenced code. In one vendor case study, a large EPC spent 15 to 20 minutes per datasheet review just extracting the data, across roughly 150 vendor RFPs that included valve datasheets (Botminds). Checking each value against the specification takes longer than that.
Manufacturers feel the same load from the other side. One proposal engineer job advert lists "Review and analyze RFQ, RFP, ITP and related tender documents" and "Identify technical risks, assumptions, and deviations" among the duties (Kowork). The checklist below is the order we suggest for doing that work.
The 25-point checklist
| # | Check | What to compare | Applies to |
|---|---|---|---|
| 1 | Document list and revisions | Requisition, project spec, owner standards, datasheets and addenda: is every one present, at the latest issue? | All |
| 2 | Order of precedence | Which document wins when two disagree. Raise a TQ if the requisition does not say. See governing-document precedence. | All |
| 3 | Tag numbers and quantities | Every tag on the requisition has a datasheet, and quantities match. | All |
| 4 | Service conditions | Fluid, operating and design pressure and temperature, flow, and any sour, cryogenic or abrasive service. | All |
| 5 | Design standard and edition | Product standard named in the spec (for example API 6D, API 610 or a measurement standard) and the edition. | All |
| 6 | Pressure class and rating | ASME class or PN, and that the rating covers the design pressure at design temperature. | Valves, pumps |
| 7 | Size and end connections | Nominal size, bore, flange facing and finish, or weld-end preparation. | Valves, pumps |
| 8 | Face-to-face or dimensions | Face-to-face length or installation dimensions against the standard the spec cites. | Valves, instruments |
| 9 | Body and pressure-part materials | Material grade and form (cast or forged) against the material requirement. | All |
| 10 | Trim, internals and wetted parts | Seats, stem, trim, impeller or sensor materials, and coatings or hardfacing. | All |
| 11 | Bolting and gaskets | Bolting grade, coating and gasket type. | Valves, pumps |
| 12 | Sour-service and corrosion requirements | NACE MR0175 / ISO 15156 or the owner's equivalent, including hardness limits. | All |
| 13 | Low- or high-temperature requirements | Impact testing, extended bonnets, cryogenic testing. | Valves |
| 14 | Operator or actuator | Gear, actuator type, sizing basis, fail position, torque margins. | Valves |
| 15 | Seals and emissions | Stem seal or mechanical seal design, and fugitive-emission class such as ISO 15848-1. | Valves, pumps |
| 16 | Fire-safe design | Fire test standard named in the spec and the certificate offered. | Valves |
| 17 | Pressure and performance tests | Shell, seat, hydrostatic and performance tests, and which standard they follow. For pumps, also the NPSH margin, performance curves and guaranteed vibration limits (What Is Piping). | All |
| 18 | Material certificates | Certificate type such as EN 10204 3.1 or 3.2 and which parts need it. | All |
| 19 | Inspection and witness points | Hold and witness points in the inspection and test plan. | All |
| 20 | Electrical and hazardous area | Area classification, protection concept, ingress protection and power supply. | Instruments, actuators, motors |
| 21 | Signals and accuracy | Output signal, communication protocol, range, accuracy and calibration requirements. | Instruments |
| 22 | Painting and coating | Paint system and colour against the client's painting spec. | All |
| 23 | Accessories and scope | Limit switches, positioners, baseplates, couplings, spares: offered or excluded. | All |
| 24 | Documentation | Items in the vendor data requirements list and their submission dates. | All |
| 25 | Marking, packing and preservation | Nameplate data, tagging, packing and long-term storage requirements. | All |
Sample deviation rows from a datasheet check
Each mismatch found by the checklist becomes one row in your technical deviation list. The rows below are invented to show the format.
| Check # | Spec clause | Requirement | Offered | Status | Justification | Cost of withdrawal |
|---|---|---|---|---|---|---|
| 6 | PS-VAL-001 §3.2 | ASME Class 600 | ASME Class 600 | Complies | Datasheet line 6 | None |
| 12 | PS-VAL-001 §4.8 | Wetted parts to NACE MR0175 / ISO 15156 | Body and trim to NACE MR0175; bolting standard grade | Deviation | Bolting is not exposed to the process; sour-service bolting available | +2% unit price |
| 18 | PS-VAL-001 §7.2 | EN 10204 3.2 for body and bonnet | EN 10204 3.1 | Deviation | Material tested by our inspection department; 3.2 needs third-party validation | +3%, +2 weeks, inspector fees by buyer |
| 20 | PS-INS-007 §5.1 | Ex d IIC T4 transmitter housing | Ex d IIB T4 | Deviation | Gas group in the area classification drawing is IIB; buyer to confirm | IIC housing: +USD 180 per unit |
| 21 | PS-INS-007 §6.3 | HART 7 output | 4-20 mA with HART 7 | Complies | Datasheet line 14 | None |
| 24 | PS-INS-007 §9.1 | Calibration certificate within 10 days of shipment | Calibration certificate shipped with the instrument | Clarification | Certificate dated at final test; confirm acceptable | None |

Doing the check faster
Work from a compliance matrix template so every check above has a row, and filter it into the deviation list at the end. OdysseyGPT checks each customer requirement against your own datasheets and gives it a status with a quote from the source page, sheet or cell, then exports an editable compliance matrix and deviations & clarifications list. Your engineers decide every open item. It reads PDF, Word, Excel and CSV files, and it does not interpret engineering drawings such as general arrangements or P&IDs. See OdysseyGPT for manufacturing.
