What does a tender review cover?
A tender package is rarely one file. It holds the material requisition, the project specification, owner standards, customer datasheets, the inspection and test plan and addenda. A review lists every requirement across those files. Then it marks each one against what you plan to offer.
The result feeds two documents most tenders ask for: a clause-by-clause compliance matrix and a technical deviation list.
Which documents go in?
| From the customer | From your side |
|---|---|
| Material requisition and its revision | Product datasheet for the offered model |
| Project or technical specification | Your standard specifications |
| Owner standards the specification calls up | Test procedures and qualification reports |
| Customer datasheets, ITP and vendor data requirements | Your own ITP and past offers |
| Addenda and clarifications | Earlier deviation lists for similar equipment |
OdysseyGPT reads PDF, Word (.docx), Excel (.xlsx, .xls) and CSV. It does not read engineering drawings such as general arrangements or P&IDs.
What do you get back?
- One row per requirement, with a status: complies, deviates, clarification, not addressed, document requested, not applicable or out of scope.
- A quote from the source document and its page, sheet or cell for each row.
- An editable compliance matrix and a deviations and clarifications list, exported as an Excel workbook.
- Internal to-dos on a separate sheet, so they never reach the customer.
This is the Document Review tool, which is generally available. To start from the customer's specification alone, the Customer Specification Review (beta) builds the requirement register first.
Where do people stay in control?
Your team confirms the package before the review runs. Every finding links to its source, so an engineer can check it in seconds. OdysseyGPT does not send anything to the customer. Your engineers decide every open item and own what goes out. See OdysseyGPT for manufacturing and how to analyse a tender specification.
