Trade shows bring tender conversations forward: a buyer met on a stand often sends an RFQ in the weeks after. The checklist below is for the project managers, proposal engineers and application engineers who will answer them.
Before you reply: the package
- List every document in the package with its revision: requisition, project specification, owner standards, datasheets, inspection and test plan, document requirements and addenda.
- Find the order of precedence. If the requisition does not say which document wins when two disagree, raise a technical query. See governing-document precedence.
- Note the edition of every standard called up, such as API 6D, API 600 or API 608, and owner or JIP33 specifications such as IOGP S-562.
- List the requirements. Paste the specification text into the free spec requirement extractor to pull out clauses, called-up standards and costly items such as witness tests and 3.2 certificates. It runs in your browser.
The checklist: what to compare, line by line
| # | Check | Why it becomes a deviation |
|---|---|---|
| 1 | Service conditions and design pressure and temperature | The offered rating does not cover the design case |
| 2 | Product standard and edition | You build to a different edition, or to a different standard |
| 3 | Pressure class, size, ends and face-to-face | Ends or dimensions differ from the standard the spec cites |
| 4 | Body, trim, seat and bolting materials | Material grade or form differs from the material requirement |
| 5 | Sour service and hardness limits | Not every part meets the sour-service requirement |
| 6 | Low-temperature or cryogenic requirements | Impact testing or extended bonnet not offered |
| 7 | Operator or actuator, and fail position | Sizing basis or torque margin differs |
| 8 | Fugitive-emission class | Your qualification does not match the class asked; see ISO 15848-1 |
| 9 | Fire-safe requirement | Different fire test standard or no certificate for the size offered |
| 10 | Pressure tests and any supplementary tests | Test not offered, or to a different standard |
| 11 | Material certificates | 3.1 offered where 3.2 is asked; see EN 10204 3.1 vs 3.2 |
| 12 | Inspection and witness points | Witness points not priced; see inspection and test plan |
| 13 | Painting and coating | Paint system differs from the client's painting specification |
| 14 | Documents and due dates | Items in the vendor data requirements list not offered or late |
| 15 | Marking, packing and preservation | Long-term storage or tagging requirement not met |
The datasheet vs specification checklist expands these into 25 checks that also cover pumps and instruments. If the tender is built on a JIP33 set, check the procurement data sheet selections and the quality and information requirements as well as the technical requirements.
Recording what you find
- One row per gap: clause, requirement, offered, status (deviation, clarification or exception), justification and cost of withdrawal.
- Quote the clause number and the document, not just "per spec".
- Give the buyer an alternative where you can, with its price and lead time.
- Keep clarifications separate from deviations, so the buyer can close them quickly.
- Send one list with the offer, and keep it in step with every revision of the package.
The free templates follow this format: the technical deviation list template, the compliance matrix template for a status on every clause, and the technical bid evaluation template, which shows how a buyer is likely to score your offer. The technical deviation list guide has a worked valve example.
After the show
If tenders from the show arrive faster than your team can check them, OdysseyGPT reads the whole package, checks each requirement against your datasheets and drafts the compliance matrix and deviation list with a source quote for every row. Your engineers decide every open item and own what is sent. See valve manufacturers and OdysseyGPT for manufacturing.
Bring a tender from the show
Book a demo and bring one tender package. We will show the cited deviation list OdysseyGPT drafts from it. Managed plans are from $999/month.
