Use case

Spec compliance review for equipment manufacturers

For bid engineers, proposal engineers and project managers who answer RFQs and tenders at valve, pump, actuator and instrument makers. Check the customer's specification package against your own datasheets before you bid.

The short answer

Spec compliance review means checking every requirement in a customer's specification package against your own datasheets, standard specifications and test procedures. You answer each one as complies, deviates or needs clarification. The outputs are a clause-by-clause compliance matrix and a deviations and clarifications list. Both go back with your offer.

Key Takeaways

  • The review runs on the supplier side, before the EPC's technical bid evaluation.
  • Every requirement gets a status, and every status points to the document and page that supports it.
  • Two outputs: a compliance matrix with every clause, and a deviation list with the exceptions only.
  • Your engineers decide every open item and own what goes to the customer.

What is spec compliance review?

A tender or RFQ for engineered equipment rarely arrives as one document. It is a package. It holds project and technical specifications, a material requisition, an inspection and test plan and datasheets. It also holds the standards they call up, such as API 6D or ISO 15848-1. Spec compliance review means answering every requirement in that package against what you actually make and test.

It is not regulatory compliance in the GRC sense. The question is not "does our policy meet a regulation" but "does the valve we are offering meet clause 4.2 of the customer's spec, and where does our datasheet say so".

Which documents go into the review?

From the customerFrom you
Project and technical specifications, with every addendumProduct datasheets
Material requisitionStandard specifications and catalogue data
Inspection and test plan and the vendor data requirements listTest procedures and qualification reports
Called-up industry and owner standardsMaterial certificates and past offers

When two customer documents disagree, the order of precedence in the requisition decides which one wins. If it does not say, raise a technical query. See governing-document precedence.

How does OdysseyGPT run the review?

  1. It reads the whole package: PDF, Word (.docx), Excel (.xlsx, .xls) and CSV files.
  2. It checks each customer requirement against your own datasheets, standard specifications and test procedures.
  3. It gives every requirement a status: complies, deviates, clarification, not addressed, document requested, not applicable or out of scope. Each status comes with a quote from the source document, page, sheet or cell, checked against that source.
  4. It exports an editable compliance matrix and a deviations and clarifications list for the customer, with internal to-dos on a separate sheet.

What it does not do: it does not read engineering drawings such as general arrangements or P&IDs. It does not send anything to the customer. Your engineers decide the open items and own what goes out.

For the datasheet-level detail, see the datasheet vs specification compliance check and the clause-by-clause comparison workflow.

Which manufacturers use spec compliance review?

Any maker of engineered equipment that answers customer specifications: valve manufacturers, pump manufacturers, actuator manufacturers and instrumentation manufacturers. At smaller makers, the project manager often answers the RFQ. At larger ones, a bid or proposal engineering team does. See OdysseyGPT for manufacturing.

Frequently asked questions

Is spec compliance review the same as regulatory compliance review?

No. Regulatory compliance review maps policies to laws or frameworks. Spec compliance review checks an equipment offer against a customer's technical specification, clause by clause.

What is the difference between the compliance matrix and the deviation list?

The compliance matrix has a row for every requirement, including those you meet. The deviation list holds only the requirements you do not fully meet. Each one has a justification and the cost of complying instead.

Who should sign off the review?

The bid engineer, proposal engineer or project manager answering the RFQ. OdysseyGPT drafts the rows with quoted evidence. Your engineers decide the open items and own what goes to the customer.

Which file types can OdysseyGPT read for the review?

PDF, Word (.docx), Excel (.xlsx, .xls) and CSV. It does not read engineering drawings such as general arrangements or P&IDs.

How much does OdysseyGPT cost?

OdysseyGPT Managed is from $999/month, as a managed subscription with onboarding.
